Downloading documents as PDFs

Proposify's PDF Download Feature allows users to convert and download their documents as high-quality PDF files for offline sharing, printing, or archival purposes. This feature provides flexibility for clients and team members who need document access outside the platform.

How to access PDF downloads

  1. From the document editor, click on the Share dropdown and click on Download as PDF
  2. From the document preview, find and click on the Download button in the top right corner of the page

How PDF Downloads Work

PDF download converts your Proposify document into a PDF file that maintains the original design, layout, and content structure. 

Understanding Proposify's Page Structure

Each section in Proposify operates as a pageless canvas. As you build your document and add content to sections, the sections will grow to fit that content.

While working in the editor, page break identifiers appear along the edge of the canvas to show you exactly where PDF pages will start and end. These visual indicators help you:

  • Preview how your content will flow across PDF pages
  • Adjust content placement to avoid awkward page breaks
  • Ensure important information stays together on single pages

How long does PDF generation take? PDF processing typically completes within 30-60 seconds, depending on document length and complexity. Documents with many images or complex layouts may require additional processing time.

Are interactive elements included in PDFs? Interactive features like tables, signatures, and embedded videos are converted to static representations in the PDF. While functionality is not preserved, visual elements remain intact for reference.

What file size should I expect for PDF downloads? PDF file sizes vary based on document content, with typical business documents ranging from 5-20 MB. Documents with numerous high-resolution images will produce larger files.
