By default, Proposify requires viewers to identify themselves with their email address before accessing your documents. This setting can be disabled for specific documents when you need anonymous viewing access.
Understanding Viewer Identification
Default Behavior When viewer identification is enabled (the default setting):
- Non-logged-in viewers must enter their email address before viewing
- You receive notifications about who has viewed your document
- Individual viewer analytics are tracked and recorded
- Engagement metrics are tied to specific people
When Identification is Disabled With identification turned off:
- Anyone with the link can view immediately
- No email address is required for access
- Viewing is completely anonymous
- Analytics are still collected but not tied to individuals

- Open your document in the editor
- Click the Share button in the top toolbar
- In the share settings panel, look for Viewer identification
- Click to expand the identification options

When to Disable Identification
Appropriate Use Cases Consider turning off identification when:
- Sharing documents for general reference
- Providing information that doesn't require tracking
- Working with clients who prefer anonymous access
- Sharing documents publicly or in group settings
- Removing barriers to quick document access
Privacy Considerations Disabling identification means:
- You won't know who specifically viewed the document
- Follow-up becomes more challenging
- Engagement tracking is limited
- Anonymous sharing may reduce document security
Impact on Analytics and Tracking
What You Still Get Even with identification disabled, you can still track:
- Total number of document views
- General viewing patterns and timing
- Section engagement and interaction
- Overall document performance
What You Lose Without viewer identification:
- No individual viewer names or emails
- No person-specific engagement metrics
- No automatic follow-up triggers based on viewing
- No notification about specific viewer activity
Document Security Considerations
Access Control With identification disabled:
- Anyone with the link can view the document
- No additional verification is required
- Links can be shared freely without restrictions
- Consider the sensitivity of your document content
Link Management When using anonymous access:
- Be mindful of where you share document links
- Consider using this setting only for non-sensitive content
- Remember that links can be forwarded without your knowledge
- Monitor general viewing analytics for unusual activity
Re-enabling Identification
Turning Identification Back On To require email identification again:
- Return to Share > Viewer identification
- Toggle the Email setting back to ON
- Future viewers will need to identify themselves
- Previous anonymous viewers won't be affected retroactively
Mixed Approach You can adjust this setting at any time:
- Different documents can have different identification requirements
- Settings can be changed based on document lifecycle stage
- Consider starting with identification on, then disabling if needed
Alternative Sharing Options
If you need more control over document access, consider:
Link Sharing: Copy the document link and manage distribution yourself. See Sharing Documents by Copying the Link.
Email Delivery: Use Proposify's email system for controlled delivery. See Sending Documents by Email.
Custom Email Domain: Send from your own domain for enhanced branding. See Sending Emails from Your Own Address.
Getting Started
To disable viewer identification, click Share, find Viewer identification, and toggle Email to the off position. Your document will immediately allow anonymous viewing for anyone with the link.
