Microsoft Dynamics integration

The Microsoft Dynamics Integration is focused on syncing data from Dynamics and linking it to Proposify documents.

This integration allows accounts to:

  • Pull in any field from your CRM: opportunities, custom objects, pricing, you name it
  • Use all field types: dates, picklists, custom fields, etc.
  • Display lists of data in tables, like pricing from your opportunity products

Setup

Setting up Microsoft Dynamics requires Admin access to both Dynamics CRM and Azure. You'll need to create an Azure app in order to make the connection to Proposify.

Once authenticated, you can configure the integration.

In the Entity Types step, search and select all the record types that you want to import into Proposify.

A standard example could be:

  • Account
  • Contact
  • Opportunity
  • Opportunity Products

To display pricing in your documents, be sure to select the entity that holds your line items, such as Opportunity Products.

Next, select the fields for each entity type. You can click on the object name at the top of the page to switch beteween them. Don't worry if you miss a field, you can always come back and update these settings.

Top-Level Objects

You'll notice for each object, there is a setting for Top-Level. Top-level objects are the main ones you'll be linking to Proposify documents. If you set Opportunity as top-level, you'll be able to link opportunities to your documents. When linking a top-level object, all the other objects that are linked to it will be available as well.

Example: Opportunity is set as the only top-level object. Since the opportunity is associated with an account and contact, the account and contact fields are nested under the opportunity fields.

Rather than needing to link each contact, account, or product individually, you can select one object as top-level to import everything linked to it.

Note: You can have multiple objects as top-level. In cases where you want to pull in records that are unrelated, you can set multiple top-level objects to allow you to link them separately.

Displaying Dynamics Pricing in Your Documents

FlexData lets you display the line items from a linked Dynamics opportunity in a table. The table builds itself from your opportunity, so you only need to set it up once in your template.

How the Pricing Table Works

Line items are pulled into a Text Table. You format the first row as a template row, and FlexData repeats that row for every line item on the opportunity. If the opportunity has three line items, the table shows three rows. If it has ten, the table grows to ten.

Any formatting you apply to the template row (bold, size, or colour changes) applies to every row in the table.

Set Up Your Pricing Table

  1. In your template, add a Text Table and set the number of columns you need.
  2. In the first row, add your variables. You can use the shortcut, or find them in the Variables side panel under Integrations, then Microsoft Dynamics, then your top-level object, then the line items list.
  3. Add a variable to each column. For example, add the line item name to the first column and the price to the second.
  4. To combine fields in one cell, add more than one variable. For example, add the line item name, followed by the description. You can also include custom fields from Dynamics.
  5. Apply your formatting to the first row. For example, make the line item name bold and add a currency symbol beside the price.

Add a Table Total

  1. Change the last row of the table to a Footer Row.
  2. Type Total in the first cell.
  3. Add the opportunity amount variable from Integrations, then Microsoft Dynamics, then your top-level object, to the second cell.
  4. Add a currency symbol and align the cell to the right.

Use the Table in a Document

  1. Create a document from your template.
  2. Link the document to a Dynamics opportunity.
  3. The pricing table fills in with the opportunity's line items. Check the preview to confirm it displays as expected.

To change the pricing, update the line items in Dynamics. The document updates the next time the data syncs. You can also link the document to a different opportunity, and the table updates to match that opportunity's line items.

FAQs

What is FlexData?

It's the framework behind how Proposify pulls CRM data into your documents. Instead of pre-mapping every field, you choose what to bring in from Dynamics, and Proposify uses it as-is. Connect a document to a record, and those fields fill in automatically and stay current.

Can I pull in a list of items, like all my line items?

Yes. FlexData can pull in the line items from a linked record and display them in a Text Table, with one row for each line item.

Do I need to build the pricing table for every document?

No. Build it once in your template. Any document created from that template only needs to be linked to a record.

What happens if my opportunity has more or fewer line items than my last one?

The table adjusts automatically. It adds or removes rows to match the line items on the linked opportunity.

How do I change the prices shown in my document?

Update the line items in Dynamics. The document picks up the changes the next time the data syncs, until the document is signed or won.

Can I change which entities and fields are synced after setup?

Yes. You can return to the integration settings at any time to update your entity types and fields.
