Understanding How Seats Work
Here's what you need to know: seats control your billing, users fill those seats. Think of it like buying tickets to a show—you pay for the seats whether someone sits in them or not.
- Add/remove seats = your bill changes
- Add/remove users = your bill stays the same (as long as you have available seats)
This trips people up. Removing a user doesn't reduce your bill—you need to actually remove the seat.
Adding Seats
Quick Way: Just Add a User The easiest approach? Invite someone new. If you don't have empty seats, we'll automatically add one and update your billing.
Manual Way: Through Settings Want to add seats first, then invite users later?
- Go to Settings in your left menu
- Click Billing
- Scroll to your current seat count
- Hit Manage Seats
- Pick your new total from the dropdown
- Check the pricing update
- Click Update and confirm
Your billing changes right away. Now you've got empty seats ready for new team members.
Removing Seats
Important: You can only remove empty seats. Got users in the seats you want to cut? Remove the users first.
Step 1: Remove Users (If Needed)
- Go to Settings → Team (or Users)
- Find the person you want to remove
- Click Remove User or Delete
- Confirm the removal
What Gets Deleted:
- All their signature boxes
- Their access to signed documents
- Their user data
- Everything they've created
This is permanent. Make sure you really want them gone.
Step 2: Remove the Seats
- Go to Settings → Billing
- Click Manage Seats
- Lower your seat count in the dropdown
- See your credits at the bottom
- Click Update and confirm
Your bill drops immediately. Credits show up on your next invoice.
Adding Users to Existing Seats
Got empty seats? Here's how to fill them:
- Go to Settings → Team (or Users)
- Click Invite User or Add Team Member
- Enter their email address
- Choose their permission level
- Send the invitation
They'll get an email to join your account. No billing changes since you're using existing seats.
Managing User Permissions
Permission Levels:
- Admin: Full account control, billing access
- User: Create and edit documents, limited settings
- Viewer: Read-only access to shared documents
Changing Permissions:
- Go to Settings → Team
- Find the user
- Click their current permission level
- Select the new level
- Changes take effect immediately

Growing Your Team
- Option 1: Add seats first, then invite users

Someone Leaves
- Remove the user to free up the seat
- Then remove the seat to reduce billing

Understand the Flow Seats → Users → Permissions. You buy seats, fill them with users, then set what those users can do.
Be Careful with Removals Removing users deletes their work permanently. Make sure you've backed up anything important.
