Document search and filtering

Got a lot of documents? No problem. Use search and filtering to find exactly what you're looking for in seconds. Whether you remember the client name, document title, or just the status, we've got you covered.

Search Your Documents

What You Can Search Type in the Search Bar at the top of your document list to find documents by:

  • Document name (like "Website Redesign Proposal")
  • Client company name (like "Acme Corp")
  • Client contact name (like "John Smith")

How to Search

  1. Click in the search bar that says "Search list by document title or account"
  2. Type what you're looking for
  3. Results update automatically as you type
  4. Clear the search to see all documents again

Search Tips:

  • You don't need to type the exact name—partial matches work great
  • Search isn't case-sensitive, so "acme" finds "Acme Corp"
  • Try different variations if you don't find what you want right away

Advanced Filtering

Clicking on “Filter” opens the filter settings sidebar. 

Status Filter: Each status shows documents at that stage of the process.

  • Draft: Documents you're still working on
  • Approval: Documents waiting for internal review
  • Approved: Documents ready to send
  • Sent: Documents delivered to clients
  • Viewed: Documents clients have opened
  • Awaiting Signature: Documents partially signed and waiting for more signatures
  • Lost: Documents that didn't close
  • Won: Successful documents

User Filter: Filter for documents owned by specific users in your account. Adding multiple users will show documents for each selected user in the list. 

How to Filter

  1. Click on the filter option at the top of the list.
  2. Click any status and select any users to see the filter applied live.
  3. Select “Clear all” at the bottom of the filter menu to reset your filters. 

Save common searches/filters 
Filters and search will be stored in the page URL, so you can bookmark that page after applying a filter to save those settings. Clicking that bookmark will send you back to the document list with the filter in place. 

Combining Search and Filters

Power User Tip Use search and filters together for laser-focused results. For example:

  • Filter by Won status and search for "Q4" to see successful fourth-quarter documents
  • Filter by Draft and search for a client name to find work-in-progress documents for that client

Clearing Everything To get back to your full document list:

  • Clear the search bar
  • Click "Filter" and "Clear all" to remove the filters

Enhanced Search Soon you'll be able to find documents based on content inside them. Looking for all documents that mention "quarterly review"? You'll be able to do that.

Quick Tips

Start Broad, Then Narrow If you're not finding what you want, try searching with fewer words first, then add filters to narrow down the results.

Use Status Filters for Workflow Filter by Draft on Monday morning to see what needs finishing. Filter by Sent to check what's out for client review.

Remember Recently Created Documents are ordered by most recently created and will appear at the top.

Clean Search Habits Clear your search and filters when you're done to avoid confusion later. Nothing worse than wondering where all your documents went!

 

Troubleshooting

Not Finding a Document?

  • Check if you have status filters applied that might be hiding it
  • Try searching for just part of the name
  • Make sure you're not searching for something that's not supported yet 

Search Results Look Wrong?

  • Refresh the page if search seems stuck
  • Clear the search bar completely and try again
  • Remember that search looks at document names and client company names

Filters Not Working?

  • Try clicking Filter and Clear All first to reset, then apply the filters you want
  • If a status appears empty, you might not have any documents in that stage
