Document Settings

Once you've created your document - you'll want to select which company & client it's for, and who it's from. Navigate to the Document Settings tab and either search for or select the desired Account, Contact, and Sender:

Below those fields, you'll find the Document Style button. Here you can apply a background colour and adjust the document's margins, which will populate the page when moving blocks around:

Sections

In Proposify 3, documents are made up of flexible sections to help organize your content and present a clear structure to clients.

To add a new section, click the + button at the top of an existing section. This creates a new section directly below.

You can name a section by entering a title in the section header field. Keep in mind—section titles are client-facing and will appear in the client’s view of the proposal.

If you don't need a section, you're able to delete it by clicking on the trashcan icon in the top-right corner of the section you want to remove:

 

Text Blocks

Text Blocks are used to add text to your documents. Navigate to the Content tab and select Text, then drag and drop a text block onto the page:

Text blocks are floating elements that can be resized by dragging any corner and will automatically expand down the page as you type. Any text added will inherit the default text style unless modified.

 

To adjust the formatting, select the Text Block Settings button found the top of the text block:

This will open the text block settings where you can change the background colour, add/update the border (width, colour, radius, sides), and modify padding for spacing:

Text Styling & Formatting 

Click into any text box to open the text styling menu.
From here, you can:
• Format your text: bold, italic, or underline
• Choose a font style, like Heading 1, Body, or Small
• Select your font family – options include Arial, Impact, Times, and more
• Organize content with ordered or unordered lists
• Change your font colour and background colour
• Embed links directly in your text
• Need a do-over? You can clear all formatting with one click

 

 

Image Blocks

You can add images to your documents by going to the Content tab and clicking on the Image button:

This will open up your image library showing recently used images, as well as an option to upload ones from your computer. You can upload images by selecting the + Image button:

Once the image you want is added, you can click-drag and drop it onto your document. Image Blocks are floating elements which can be easily moved around and can be resized by dragging the corners. 

You can adjust the formatting by selecting the Image Settings button found at the top of the selected image. This will open the image settings where you can manually adjust the size, and opacity, link a URL, adjust the border, and add padding within the block:

Pricing Tables

Pricing Tables are dynamic blocks that help calculate costs and showcase your pricing clearly. You can:
• Add products or services
• Adjust quantity
• Apply discounts and taxes
• Let totals update automatically


To add one:
1. Go to Content Blocks
2. Click Table
3. Drag and drop the Pricing Table onto your page:

 

Pricing Tables: Column Overview and Row Editing

When you click into a table, you’ll see 4 columns:
1. Text – Item description
2. Multiplier – Quantity or units
3. Price – Cost per unit
4. Subtotal – Auto-calculated total


 

Row Editing Options

Double-click a row to edit it.
Clicking into the Multiplier column allows you to:

  • Make a fee optional
  • Let clients adjust quantities

This makes your pricing table more flexible for each client.

 

Taxes & Discounts

Taxes can be added either as a flat fee or a percentage. Or you can choose to hide the tax from your summary:

 

You can add multiple taxes to your proposal. To add another tax—similar to adding a row—go to the summary section, click the Add Row button, then change the row type to Tax. You can follow the same steps to add Discounts to your proposals:

 

Don’t want to show the totals? You can hide totals by clicking on the Total row and toggling the option to hide it. You can also choose how many decimal places to display—2 is good for most people, but we support up to 5!

 

Text Tables

Text tables will function similarly to Pricing Tables - you can select the Text Table block and drag that onto the page to begin filling in your table.

Initially, our tables populate with two columns, one header row and two body rows.

To adjust the columns, double-click on the text area header, and use the side panel to manipulate how many columns to add, duplicate or delete:

Rows can be adjusted as well, similarly to adjusting the columns. Double-click on the far left column with the six dots. The row editing menu will open up on the right:

Text table rows can be optional for your client by toggling the feature on.

 

Videos

Videos can be inserted under Content blocks:

 

Once you’ve added a video to your document, just paste the link to your YouTube video. The thumbnail will automatically load from YouTube. You can resize the video by adjusting the display dimensions or dragging the video block.

Currently, only YouTube is supported, but support for Vimeo, Vidyard, and Wistia is on our roadmap.

Autoplay isn’t available. 

 

 

Signature Blocks

Signature Blocks are used to capture legally binding electronic signatures from clients or internal team members on a document. To add a Signature Block, head into the Signatures tab:

To assign the signature block, type in the desired signee's name, then select them once they populate. This works for assigning both external and internal signatures:

Once selected, you can then drag & drop their Signature Block onto the document. To adjust the size of the block, simply click and then drag one of the corners to the desired size:

Variables

To insert a variable:

  1. Type a [ left square bracket inside a text box

  2. Choose from available variable options

Variables pull dynamic information into your proposal. Current options include:

  • User

  • Client

  • Document (proposal)

Go to the Variables tab to see which ones are filled and ready to use.

Custom Variables aren’t available just yet—but they’re coming!

Aligning & Layering Elements

As you add more elements to your documents, you'll likely want to layer blocks on top of one another and make sure they're all aligned to achieve your desired look. To move blocks between layers, right- click on the desired block: you can choose to either bring them forwards or backward:
