Collaborator Seats (beta)

Collaborator Seats are a new user role within Proposify that allows external users to interact with specific documents, under a defined set of permissions. Collaborator Seats are ideal for those who need to contribute to documents, review documents, or approve content without having full access to your Proposify account.

 

How They Work

Users are able to invite collaborators from within their documents to grant them access. Once invited, collaborators will need to first create an account in order to gain access. From there they'll be able to engage in editing, approval (if an approval workflow is in place), and even sending of the document.

 

A "Collaborator" role will be added to your Roles and Permissions page, and will have pre-defined, default permissions which can be adjusted depending on your business needs.

 

Collaborators can only see the documents they’ve been invited to - they won't have access to other aspects of your account such as your metrics, templates, content library, or settings. Collaborators will have their own document list, which will be populated with all the documents that have been shared with them.

 

Inviting Collaborators From the Editor (V2)

In our current version, V2, users are able invite collaborators to their specific documents using the Invite button found in the upper right section of the page:

From there, the user will be prompted to enter the collaborator's email address and send the invite:

If you don't have any available seats for the collaborator role, you'll need to purchase a collaborator seat.

Once invited, the collaborator will receive an email to accept the invite and before being granted access to the document, they'll need to create an account:

After creating the account, they can log in to access any and all documents that they have permission to edit and collaborate on!

 

Inviting Collaborators From the Beta-Editor (V3)

In our Beta editor, V3, users can invite Collaborators to their documents using the dropdown menu from the Share button found in the upper right corner of the page:

Once selected, they'll need to enter the collaborator's email address and click invite:

Adding Seats From the Billing Page

Similarly to how you'd add Seats to your plan, you can add Collaborator Seats to your account through your billing setting's page:

Once in your billing page, scroll to the Seats section and click Add Seats:

From there you can select how many seats you want to add to your plan, and click continue:

Collaborator Seats are $8 /user per month, with each plan including a specific number of free seats, which you can check out on our pricing page. Any additional collaborators beyond the included amount will be billed accordingly. Collaborator Seats are billed separately from your main Proposify subscription, and will also have a separate invoice sent to the billing contact.

 

Inviting Users From the Billing Page

In addition to inviting collaborators from the document editor, you can also invite them from the billing page. 

 

Under the Seats section of your billing page, you'll be able to see how many collaborator seats are available. Select the Empty button:

That will prompt the pop-up where you'll add in the email address of the collaborator:
